优利咨询(上海)有限公司<br>Manager of Administrative Services著名美国船舶质量认证公司<br>Position Title: Manager of Administrative Services<br><br><br>General Summary<br>Overall supervision and control of the office administration services and related administrative activities including but not limited to the coordination of building maintenance, security functions and day-to-day activities with appropriate entities under the direction of the Country Manager.<br><br>Principal Duties and Responsibilities (PDR)<br>May include any of the following:<br><br>1. Assist the Country Manager in planning and organizing the internal administration of the office and act as head of the Administrative Department<br>2. Assist the Country Manager in the preparation and monitoring of annual manpower and expenditure budget.<br>3. Advise the Country Manager in matters relating to leasing or purchasing of office equipment, as well as the necessary maintenance, etc<br>4. Negotiates office lease and maintain relations with the office landlord<br>5. Supervise administrative services staff in routine operations of mailroom, the print shop, the receptionist area and other related administrative services such as travel and fleet management<br>6. Supervise the maintenance and alteration of office areas, furniture and equipment, as well as office layout arrangement, office security and general housekeeping of office facilities<br>7. Negotiate and deal with suppliers of business services, such as office equipment, staff accommodations, insurance, building maintenance and utilities<br>8. Negotiates with outside vendors for efficient and timely services, while at the same time getting the best value for the services and goods provided, such as<br><br>• travel ticketing, hotel accommodations and other travel arrangements<br>• Office supplies and furnishings, including contracting of moving services as needed.<br>• Building maintenance and repairs<br>• House keeping services<br>• Office renovation and construction services<br>• Office equipment lease and/or purchase and maintenance<br>• Mailroom and courier services <br>• Vehicle fleet leases, vehicle maintenance, etc.<br>9. Responsible for the further training and development of direct reports by identifying trainings needs. Ensure sufficient coverage to allow staff members to attend training as deemed necessary<br>10. Authorize staff overtime as needed. Control all related operating costs within budgeted guidelines established for the department<br>11. Develop annual operating budget and submit for approval per guidelines provided by Finance Department<br>12. Maintain familiarity with all related quality processes and procedures. Submit recommendations for updates or revisions as needed to Vice President of Human Resources<br>13. Responsible for office/building compliance with ISO 14000 policies and procedures as related to the health and safety environment of the office and personnel. Must be available in the office at all times during scheduled internal and external audits relating to ABS' quality processes and procedures<br>14. Support the ABS Quality System by working with other department staff to oversee the maintenance and compliance of the program, including library, quality coordination and supervision of support staff<br>15. Responsible for ISO 9001 set up of local procedures and layout of forms<br>Knowledge, Skills and Abilities Required (KSAR)<br><br>1. Excellent language, financial, organizational, evaluative and computer skills.<br>2. Proficient in managing multiple tasks, flexible in accepting additional responsibilities, and adept in exercising discretion, delegating responsibilities and setting priorities.<br>3. Ability to follow through on all tasks within the time frame required.<br>4. Sensitive to confidential information. <br>5. Excellent interpersonal skills with ability to work on cross-departmental programs in team situations, effectively interacting with external as well as internal individuals and groups.<br>6. Commitment to completing tasks and projects in advance of deadlines.<br>7. Detail oriented with ability to conceptualize the overall situation and objective at same time.<br>8. Provide creative and pro-active thinking with assignments.<br>9. Considerable prior high level administrative experience and undergraduate degree preferred.<br>10.
